Completing Section 2 of the I-9 Form as an Authorized Representative

INTRODUCTION

As specified by the USCIS, we have requested that you act as an authorized representative of VentureLoop in completing Section 2 of the I-9 Form for our worker.  This page includes instructions to assist you in this task.

First of all, you should have received an email from our HRCloud account with a link to access the I-9 Form for the worker.  When you click on that link, you will see the I-9 Form as well as some action buttons.  If for any reason, the form is locked, you will need to notify us and request we unlock it.

We have communicated to the employee and reminded them to bring ORIGINAL documents that will meet the requirements as (1) Identification and (2) Proof of Work Authorization to the meeting. However, it is always good to remind them if you communicate with them directly prior to the meeting.

It is important to note that completing Section 2 of the I-9 Form must be done no later than 3 days after the employee’s first day of work.  If this is not complete, they will need to cease all work until they are able to complete Section 2 of the Form I-9.

INSTRUCTIONS

Be sure to copy the employee’s name from Section 1 into Section 2 of the Form I-9 (see image below).

When completing the documents section of the Form I-9, be sure you know which documents are acceptable and in which combinations.  There are links provided at the end of this page as well as one HERE.  Each of these common document combinations listed below would comply with the requirements on their own:

  1. An unexpired U.S. Passport or U.S. Passport Card (in List A)
  2. An unexpired Permanent Resident Card (in List A)
  3. Foreign Passport and I-94 designating non-immigrant status (both placed in sections in List A column)
  4. State drivers license and social security card (in List B and List C columns, respectively)

YOU MUST VIEW ORIGINAL DOCUMENTS FROM THE EMPLOYEE. You cannot accept photocopies or pictures of the documents in place of originals.

Once you have seen the original documents and completed Section 2 of the form using the link we provided, please use your camera to take images of the originals and upload them to the web page.  You will see a button “Upload File…” which will allow you to upload images of their documents.  Once you have successfully uploaded the files, you must delete the images from your camera.

Finally, in the Certification section, you MUST enter VentureLoop as the employer and use our address of 700 Larkspur Landing Circle, Suite 199, Larkspur, CA 94939.  The remaining information will be the appropriate dates, your name and the title “Authorized Representative“. Do not use any other title like “Notary” or “Agent”. Only use “Authorized Representative”.
